6:30 PM, 9/21/09 Board of Trustees Meeting Minutes:


HEADLINES:
▪   We will hold our Annual Membership Meeting at The Inn at Grace Farm at 6:00 pm on October 27. All interested residents of Fairfax and surrounding towns are considered to be CFC members; and we hope that a lot of folks will show up to chat, hear what we’ve been up to, and enjoy a pot luck supper. Please consider not only attending yourself, but inviting friends who may be interested in a Community Center for the area. It would help us ensure that we have enough chairs, cups, brownies, etc, if you could phone 849-6561 or email mark@vtwellness.net to let us know you plan to be there.

      

▪   The minutes of the August 17, 2009 meeting were approved. (moved by Mary, seconded by Liz)
▪   Details of the logistics for our October 27 Annual Membership Meeting and Pot Lick Supper at the Inn at Grace Farm were discussed, and responsibilities divided up.
o   Logistics and coordination with Liz and Jason Minor: Barb
o   Advertising: Susie and Mark
o   RSVP contact: Mark
▪   At the Membership meeting:
o   We will start with the food!
o   CFC information papers will be available
o   We (Mark) will give a very brief “what’s going on” report and lead an open conversation about the Community Center.
o   We will conduct some official business:
   Our nominating committee of Katrina and Liz will put forth Trustee nominations for a vote of the membership for new terms. Please contact us if you are interested in serving as a Trustee.
   A few actions of the Board need to be voted on by the membership
▪   The Board of the United Church of Fairfax has given us permission to conduct professional inspections of the Baptist Building and get estimates for needed repairs and upgrades. We will get these done ASAP (Ann, Mark, & Katrina)
▪   Mark has responded to the IRS’s most recent request for more information. He is optimistic that we will receive 501(c)(3) approval before our next meeting.
▪   Trevor reports that Mr. Kuthe is happy to come to talk with us about Georgia’s experience in creating their community center, though he could not attend this meeting.
▪   Agreement could not be reached regarding any of the proposed logo designs. Amanda and Katrina will play around with some ideas and report back.
▪   Amanda briefed us on the progress she has made with the business plan and on the remaining challenges. We don’t appear to be overlooking any important areas, but some –particularly operational costs, revenue projections, and assessing community support– continue to be difficult. Approaches to getting useful data were discussed.

Meeting adjourned: 8:15 pm
